Log in to Shopify POS

You can log in to the Shopify POS app using an email and password, a device code, or Nearby device log in. After a device is logged in, POS-only staff can use their PINs to log in and out of the app's lock screen.

Login requirements

Users need Shopify account login credentials, or a unique 4 to 6-digit personal identification number (PIN), to log in to the Shopify POS app.

Users with limited admin permissions and POS app only staff can't access Shopify POS unless the store owner, organization owner, or a user with the POS device setup role logs in to the Shopify POS first.

Staff who are assigned the POS device setup role can approve Nearby device log in requests from a device that's already logged in to POS using their PIN, in addition to setting up devices with an email and password.

If you have POS apps installed in Shopify POS, then the initial login user must also have a role with store-level permissions for those apps for the initial login. In the App permissions section, select any individual apps that are for the Shopify POS.

Shopify POS login security

For security reasons, if any settings related to account setup are changed when an account is logged into Shopify POS, then the account will be logged out. The user needs to manually log back into Shopify POS.

If any of the following account setup settings are changed, then the logged in user is logged out of Shopify POS:

  • Email address
  • Email address verification
  • Password

If you use SAML (Security Assertion Markup Language) and it's inactive for 14 days, then your account is logged out of the Shopify POS.

Log in with Nearby device log in

You can log in a new POS device by approving it from a device that's already logged in to Shopify POS. Depending on your device type and connection, you can approve the login request using either Bluetooth or a QR code.

The Allow nearby device log in setting is turned on by default for your store. You can manage your settings for Nearby device log in in your Shopify admin.

Requirements for Nearby device log in

Review the following requirements for using Nearby device log in:

  • To approve a Nearby device log in request, a staff member needs the POS device setup role. Learn more about roles managed by Shopify.
  • To detect nearby devices using Bluetooth, you must activate Bluetooth in the device settings of both the new device and the logged-in device.

Considerations for Nearby device log in

Review the following considerations for using Nearby device log in:

  • For iPhone, iPad, and Android devices, you can approve a new login on a nearby device using Bluetooth or by scanning a QR code. For Victa Mobile, you can approve a new login using only a QR code.
  • To accept login requests, the approving device must be connected to the internet. If the approving device is offline, then your staff can log in to the new device using email and password or a device code.
  • If the approving device has been logged in for an extended period, then the staff member approving the request might need to enter their email and password to complete the login on the new device.

Device login durations

When you approve a Nearby device log in request, you can choose how long the device stays logged in to Shopify POS. The available Login duration options are controlled in your Shopify admin:

  • Today only: The device is logged out of Shopify POS automatically at the end of the day. This option is turned on by default.
  • Forever: The device stays logged in until you log it out. This option is hidden by default in Shopify POS. You can make the option available in your Shopify admin.

Approve a login request using Bluetooth

You can make a new device discoverable to a logged-in device using Bluetooth. A login code is displayed on the new device so that you can confirm that you're approving the correct request.

Steps:

  1. On the new device, open Shopify POS to display the login screen.
  2. Optional: Tap Enable to turn on Bluetooth in the device settings.
  3. Hold the new device near a logged-in device that has Bluetooth turned on.
  4. On the logged-in device, review the login request using one of the following methods:
    • Tap Review in the login request dialog.
    • Tap the Connectivity Icon icon, and then tap Log in to Shopify POS.
  5. In the device list, confirm the login code matches the code that is displayed on the new device, and then tap Log in for that device.
  6. Optional: Select how long the new device stays logged in.
  7. Enter your PIN to approve the request.

On the new device, your staff member can enter their unique PIN to access Shopify POS from the lock screen.

Approve a login request using a QR code

If you're using a Victa Mobile or you can't connect your device to Bluetooth, then you can scan a QR code with your device's camera to approve the login request.

Steps:

  1. On the new device, open Shopify POS to display the QR code on the login screen.
  2. On the logged-in device, tap Connectivity Icon > Log in to Shopify POS, and then tap Scan QR code to scan the QR code with your device's camera.
  3. Optional: In the Stay logged in menu, select how long the new device stays logged in.
  4. Enter your PIN to approve the request.

On the new device, your staff member can enter their unique PIN to access Shopify POS from the lock screen.

Log in with email

If you're a staff member with an admin username and required credentials then you can use them to log in to the Shopify POS app when you have access to the Point of Sale channel.

Steps:

  1. On the Shopify POS login screen, tap Log in.
  2. Click Log in manually.
  3. On the Shopify page, type in your admin username and password and then tap Log in.
  4. Enter your authentication code and tap Log in.
  5. Select the correct store and location to complete login.

After you've logged in to Shopify POS, tap Lock screen to return to the login PIN pad for other staff members to access the app using their PIN.

Log in with a device code

You can log in to Shopify POS remotely so that staff members who don't have admin credentials can open Shopify POS on a single device at a specific location using their PIN.

After you log in remotely, have the staff member on-site lock the screen so that they can use their PIN to access the app using their own staff profile.

Steps:

  1. Ask the staff member to tap Log in on the Shopify POS login screen. This generates a code for this POS device.
  2. Ask the staff member to give you the code that displays on Shopify POS.
  3. On your computer or POS device, open the activation page, and then enter the code.
  4. Click Next.
  5. Enter your admin email and password, and then click Log in.
  6. Click Log in again to confirm that you want to log in to Shopify POS on the other device.
  7. To complete the login process, ask the staff member to select the correct store and location on Shopify POS login screen.

After successfully logging in to Shopify POS, ask the staff member to tap Lock screen to return to the login PIN pad, so that the staff member can enter their own PIN to access Shopify POS with their own staff account.

Use a PIN to access Shopify POS

You need to use your Shopify POS PIN to unlock and access Shopify POS. If you've already logged in to your store using your admin credentials, then you can access Shopify POS by using your PIN on the PIN screen.

Every staff member must use a PIN to access Shopify POS. If you're the store owner or have the Manage Point of Sale staff permission, then you can create and manage PINs. To learn more about setting PINs, refer to Manage Point of Sale staff.

If you've forgotten your PIN, then you can change it in your Shopify admin. You must have the Manage Point of Sale staff permission to change a staff PIN.

Log out of Shopify POS

Only a staff member with Point of Sale permissions can log out of Shopify POS.

Steps:

  1. On Shopify POS, tap More.
  2. Tap Settings.
  3. Tap Log out.

Troubleshooting staff access to Shopify POS

If one of your staff are having issues accessing Shopify POS, then you can try the following troubleshooting steps:

  • If the issue is with the initial login that requires an email and password to set up Shopify POS, then verify that the staff account has the Point of Sale access and the Set up new or updated POS devices permissions.
  • If the staff have issues with their PIN, then try the following troubleshooting steps:
    • Verify that the subscription plan for the store location is correct, as staff with POS-only access can't use a PIN to access locations that aren't on Shopify POS Pro.
    • Ensure your staff member hasn't been restricted from that location.
    • Ensure your staff member is using the correct PIN to log in. If your staff need the PIN reset, then you can generate a new PIN.
