Managing register sessions from the Shopify admin

Use the Shopify admin to monitor register sessions across your store locations. You can view session history, review discrepancies between expected and counted cash amounts, close sessions remotely, and export reports for record-keeping.

Considerations for managing register sessions

Before using register sessions, review the following considerations:

  • You can't open a register session in the Shopify admin. You need to open register sessions in Shopify POS.

  • If want to customize the control you have over register shifts in your Shopify admin, then you need to set up a POS UI Extension and learn about the new API.

  • A register session must be closed at regular intervals, such as when your store opens and closes, or when staff start and end their shift.

  • Register sessions aren't for long term reporting. If you leave a register session open for too long, then the Expected cash and Descrepencies reports might become innacurate. For long term payments reports, refer to the Finance reports and Order reports in your Shopify admin.

  • You can have only one register session open at a time on each device.

View a list of your register sessions in your Shopify admin

You can view a list of your register sessions for a single location or a list that compares register sessions across all of your locations for a specific timeframe.

Steps:

  1. From your Shopify admin, go to Point of Sale > Register.

  2. Optional: In the locations drop-down menu, select the location that you want to view a list of register sessions for.

  3. Optional: To filter the register sessions for a specific timeframe, select the date range drop-down menu, and then choose the desired Starting and Ending dates.

Export your register sessions from your Shopify admin

You can export register sessions into a CSV file. If your session is still open, then you can export only the Session activity report. Other reports are available for export when you close your session.

Steps:

  1. From your Shopify admin, go to Point of Sale > Register.

  2. Optional: In the locations drop-down menu, select the location that you want to view a list of register sessions for.

  3. Optional: Select specific sessions to export by clicking the checkboxes.

  4. Click Export, and then select one of the following options:

  • To export a cash discrepancy summary, click Export cash discrepancy summary.
  • To export a list of all of your register sessions, click Export all sessions.
  • To export a list of only selected sessions, click Export selected sessions.

View Register session reports in your Shopify admin

From your Shopify admin, you can view the following reports for a specific register session:

  • Session: An overview of a register session's start and end times, net payments by payment type, and cash activity.
  • Net payments: A breakdown of all payments processed during a session, organized by payment type.
  • Session activity: A log of every cash movement during a session, including additions, removals, and drawer openings.

Steps:

  1. From your Shopify admin, go to Point of Sale > Register.

  2. Click the register session that you want to view.

  3. Do one of the following:

    • To view the Session report, review the session details page.
    • To view Net payments, in the Net payments section, click View details.
    • To view Session activity, in the Cash tracking section, click View details.
  4. Optional: To print or export a report, click Print or Export.

Close a register session in your Shopify admin

If you're unable to close a register session on the POS device, then you can close a session from the Point of Sale sales channel in your Shopify admin. If a transaction is in progress and you close a register session, then a new session opens automatically when the next transaction completes.

After you close a session, you can't reopen or edit it. The session's activity history updates to include the remote closing of the session and the changes that you made to the amount in the cash drawer.

Steps:

  1. From your Shopify admin, go to Point of Sale > Register.

  2. Select the register session that you want to close.

  3. Click Close session.

  4. In the Cash counted field, type the cash counted. If you can't count the cash, then keep the default amount.

  5. If the cash counted discrepancy is accurate, then select Confirm cash counted discrepancy of $X.XX.

  6. Optional: Add a note.

  7. In the Confirm cash in drawer section, select the correct amount of cash that's left in the drawer. If you select Other amount, then type in the amount.

  8. Click Close session.

Activate cash drawer reason codes

You can require reasons for cash additions, removals, and drawer openings.

Steps:

  1. From your Shopify admin, go to Point of Sale > Settings.

  2. In the Payments section, click Cash management.

  3. Activate Reason codes.

  4. Optional: To create a new reason code, click Add reason code, type the new reason, and then click Save.
