Searching and filtering users
You can filter, search, or sort users from the Settings > Users index page of your Shopify admin. Searching and filtering users can help you quickly find specific team members and manage their access.

User statuses in the Shopify admin
The following table describes the statuses that users in your store or organization can have for the Shopify admin.
| Category | Description |
|---|---|
| Active | This status applies to users who can log in to a store or organization, according to their assigned user roles. |
| Pending | This status applies to users who have been invited to join your store or organization, but haven't accepted yet. These users can't access any part of your store or organization until they accept their invitation. |
| Suspended | This status applies to users who can't access any of your stores or organization. |
| Inactive | This status applies to users who have requested access to your store, but haven't been accepted yet. |
| Requests | This status applies to collaborators who have requested access to your store, but haven't been accepted yet. |
Search and filter users
You can search and filter users from any of the following locations:
- The user list on the Settings > Users index page of your Shopify admin.
- The Staff page of the Shopify POS app settings.
Search and filter in the Shopify admin
You can filter the user list or search for a user from the Settings > Users page of your Shopify admin. You can filter your users in the following ways:
- Search by user name or email using the search bar.
- Filter by type using the User type drop-down menu option.
- Filter by role using the Role drop-down menu option.
- Filter by two-step authentication using the Security drop-down menu option.
- Filter by legacy access to migrate users to role-based access control using the Legacy access drop-down menu option.
Steps:
Desktop
From your Shopify admin, go to Settings > Users.
Click the
icon.
Do any combination of the following actions:
- In the search bar, enter all or part of a user name or email address.
- Click Add filter +, click a filter option from the list, and then select filter value.
- Click Add filter + to add any additional filters.
Mobile
From the Shopify app, tap
, and then tap
Settings.
In the Store settings section, tap Users.
Do any combination of the following actions:
- In the search bar, enter all or part of a user name or email address.
- Tap Add filter +, tap a filter option from the list, and then select filter value.
- Tap + to add any additional filters.
Search and filter in the POS app
You can search for a specific staff member by entering a name or email address in the Search staff field of the Staff page in Shopify POS. If you have POS roles, then you can filter the staff list by one or more POS roles.
Steps:
- From Shopify POS, tap
> Staff.
- Do any of the following actions:
- In the search bar, enter all or part of a user name or email address.
- Tap Roles, select one or more roles in the Filter by role dialog, and then tap Apply.
Change the sort order of users and staff
You can change the sort order of the user list for the Shopify admin, or for staff in Shopify POS.
Change sort order in the Shopify admin
You can change the sort order of your user list on the Users index page of your Shopify admin settings. By default, users are listed in alphabetical order by name from A-Z.

| Last name | Sorted alphabetically from A-Z or Z-A. | This option displays users in alphabetical order by last name. By default, the user list is sorted by Last name: A-Z. |
| First name | Sorted alphabetically from A-Z or Z-A. | This option displays users in alphabetical order by first name. |
| Sorted alphabetically from A-Z or Z-A. | This option displays users in the order that the emails were created. By default, the file list is sorted by Date: Newest first. | |
| Status | Sorted alphabetically from A-Z or Z-A. | This option displays users grouped by status in alphabetical order of the status name. |
Steps:
Desktop
From your Shopify admin, go to Settings > Users.
Click the
icon, and then select an option from the list.
Mobile
From the Shopify app, tap
, and then tap
Settings.
In the Store settings section, tap Users.
Tap the
icon, and then select an option from the list.
Change sort order in Shopify POS
You can change the sort order of your staff list in the POS app by name.
By default, staff are listed by name in alphabetical order from A-Z.
Steps:
- From Shopify POS, tap
> Staff.
- Tap the
icon, and then change the order.
