Activity log for Shopify POS

You can use the activity log for Shopify POS in your Shopify admin to review high-risk register actions in the Shopify POS app and identify which staff member performed each action. The activity log for Shopify POS can help you investigate discrepancies, support loss prevention, and maintain accountability for sensitive register actions.

Considerations for using the activity log for Shopify POS

Before you use the activity log for Shopify POS, review the following considerations:

  • Events are kept in the activity log for Shopify POS for 1 year.
  • The activity log for Shopify POS is for viewing and filtering POS app actions in your Shopify admin. You can't export the log or access it through the API.
  • The activity log for Shopify POS records each action under the staff member who's logged in at the time. To make sure that actions are attributed to the correct person, give each staff member their own unique PIN, and avoid sharing PINs between staff.

Event types in the activity log for Shopify POS

Each event in the activity log for Shopify POS includes the date and time of the action, the location, and the name of the staff member who performed it.

Review the following sections to learn which actions are captured in the log and which aren't.

Events that are captured

  • Voids: A staff member voids a transaction or a line item.
  • Refunds: A staff member processes a refund.
  • Manual discounts: A staff member applies a discount by hand, rather than an automatic or code-based discount.
  • Customer record access: A staff member opens a customer record.

Events that aren't captured

  • Failed or canceled actions.
  • Cash drawer operations.
  • Staff login and logout activity.

  • Cart edits, such as adding or removing items before checkout.
  • Your customer's personal information. The activity log for Shopify POS records that a staff member opened a customer record, but not the data within that record.

Manager approvals in the activity log for Shopify POS

Some register actions require manager approval before a staff member can complete them. When a manager approves one of these actions, the approving manager is recorded as part of the event details, alongside the staff member who performed the action. Manager approvals aren't recorded as their own separate events in the activity log for Shopify POS.

View your activity log for Shopify POS

To view your activity log for Shopify POS, go to the Point of Sale channel in your Shopify admin, and then click Settings > Activity log.

Filtering the activity log for Shopify POS

You can filter the activity log for Shopify POS to narrow down events when you're investigating a specific staff member, location, or type of action. You can apply the following filters:

  • Staff: View events performed by a specific staff member.
  • Location: View events from a specific retail location.
  • Event name: View only a specific type of action, such as refunds or voids.
  • Date range: View events from a specific time window.

Steps:

  1. From your Shopify admin, go to Point of Sale > Settings.

  2. Click Activity log.

  3. Click the searchfilter icon, and then apply any of the available filters.

  4. Optional: Click an event to view its full details, including the approving manager for any action that required manager approval.
