Setting up store credit for B2B

You can display store credit as a payment method at checkout. After you issue store credit to a company location, any B2B customer of the company can apply that store credit at checkout when they're logged in to the store for their company location. Store credit is shared among all authorized B2B customers of that company location.

Review the following examples of when you might want to issue store credit to a company location:

  • as a goodwill gesture
  • to refund a purchase
  • as a form of customer retention
  • as part of a marketing campaign
  • as a reward or incentive, such as a loyalty or referral program

Considerations for accepting store credit as a payment method for B2B

Before you set up store credit as a payment method for B2B, review the following considerations:

  • You can't issue B2B store credit to individual B2B customers. B2B store credit is applied only to a company location, and is shared among all authorized B2B customers of that company location. If you add store credit to an individual B2B customer, then they can use the store credit only on your D2C online store, not B2B.
  • If a company location has store credit issued to its account in multiple currencies, then only the store credit balance that matches the currency of your checkout displays to the B2B customer at checkout.
  • Store credit can't be used towards a deposit. Deposits are treated as upfront commitments and must be paid with eligible payment methods. However, store credit can be used to pay an invoice when payment is due according to the payment terms.
  • Only the full store credit amount can be applied as a payment method. Customers can't select a partial amount of their store credit to pay for an order.
  • You can only issue store credit amounting to less than $10,000 USD on a company location account.
  • If you operate a blended store, then store credit is activated for both D2C and B2B customers. You can't activate store credit for specific customers or customer types.
  • You can't transfer a store credit balance for a company location to another company location.

User permission requirements

To manage, issue, or debit store credit for a company location, a staff member must have the Edit store credit permission activated in the Company permissions.

To view the details of a customer's store credit transactions, a staff member must have the View store credit transactions permission activated in the Company permissions.

Store credit expiration dates

You can set expiration dates for store credit. Before setting up expiration dates, review the following considerations:

  • Check local laws: Verify the laws for store credit expiration dates in your country before setting up store credit expiration dates.
  • Timezone considerations: Store credit expires at the end of the day in your store's timezone, regardless of where your customer is located.
  • Multiple credits with different expiration dates: When a customer has multiple store credits with different expiration dates, the system uses the credit that expires first. For example, you issue $10 USD in store credit that expires on March 10 to a customer account. The next day, you issue $10 USD in store credit that expires on March 15 to the same customer. If the customer spends $10 USD using store credit on March 9, then the credit with the March 10 expiry date is debited because it expires first. A store credit balance of $10 USD expiring on March 15 remains on their account.

Manage store credit

Store credit is activated on your store by default. You can manage whether to display store credit as a payment method from the Customer accounts settings page of your Shopify admin.

Steps:

  1. From your Shopify admin, go to Settings > Customer accounts.

  2. In the Customer accounts section, activate or deactivate the Store credit option.

Issue store credit to a company location

You can issue store credit to a company location from your Shopify admin. After you issue store credit, the company location’s balance increases in the Store credit section of their company location details page and is available to all customers in that company. The store credit also displays as an event in the company location timeline.

Steps:

  1. From your Shopify admin, go to Customers > Companies.

  2. Click a company that you want to issue a store credit for.

  3. In the Locations section, click the company location that you want to issue a store credit for.

  4. In the Store credit section, click the Edit icon.

  5. In the Adjustment section, select Credit.

  6. Optional: If your store accepts multiple currencies, then from the Currency drop-down menu, select the currency that you want to issue store credit in.

  7. In the Amount field, enter the value of credit that you want to issue.

  8. In the Expiration date section, do either of the following:

    1. To issue store credit that doesn't expire, select No expiry date.
    2. To add an expiry date to the store credit, select Set expiry date, and then select an expiry date from the calendar. Learn more about store credit expiration dates.
  9. Click Confirm.

Decrease store credit balance for a company location

You can decrease store credit from a company location’s balance from your Shopify admin. After you debit the store credit, the company location’s balance decreases in the Store credit section of their company location details page, and displays as an event in the company location timeline.

Steps:

  1. From your Shopify admin, go to Customers > Companies.

  2. Click a company that you want to decrease a store credit balance for.

  3. In the Locations section, click the company location that you want to decrease a store credit balance for.

  4. In the Store credit section, click the Edit icon.

  5. In the Adjustment section, select Debit.

  6. Optional: If the customer has store credit in multiple currencies, then from the Currency drop-down menu, select the currency that you want to debit store credit in.

  7. In the Amount field, enter the value that you want to debit.

  8. Click Review changes.

  9. Click Debit to decrease the company location’s store credit balance.

Refunding store credit

If a customer uses store credit as a payment for an order, and later requests a refund, then store credit displays as a Refund amount when you refund an order.

You can also offer store credit as a refund for orders paid for using other payment methods, such as credit cards. You can choose store credit as a refund method when you refund an entire order or partial order.

View store credit balance for a company location

You can view a company location’s current store credit balance, transactional history and expirable amounts from your Shopify admin. If there have never been any expirable amounts on a customer's store credit balance, then you can view only a transaction history.

Each transaction row displays additional details about a transaction, such as the transaction date, the event that initiated the transaction, the staff member that created the event, and the transaction amount. If the transaction is associated with an order, then you can click the order link to view the details of that order.

Steps:

  1. From your Shopify admin, go to Customers > Companies.

  2. Click a company that you want to view.

  3. In the Locations section, click the company location that you want view.

  4. In the Store credit section, click the company location’s store credit balance.

  5. Review any of the following information about the company location’s store credit transactions:

    • To view all of the store credit transactions to date on the company location’s account, click the store credit amount.
    • To view only store credit with an expiry date on the customer account, click Expirable amounts.

Customer experience

When a customer makes a purchase for a company that has store credit available, and they're logged in to their B2B customer account on your store, the value of their store credit displays at checkout in the Store credit section. The customer can select Apply store credit to use their store credit as payment.

View store credit reports

You can view the Store credit transactions report in your Shopify admin to learn more about store credit activity, transactions, and balances on your store.

You can filter the report by the following B2B dimensions:

  • Is B2B order
  • Company ID
  • Company location ID
  • Company location name
  • Company name

Store credit also displays as a payment provider in any payments reports, such as the Net payments by gateway report. Learn more about payments finance reports.

Steps:

  1. From your Shopify admin, go to Analytics > Reports.

  2. Click the Category drop-down menu, and then select Finances.

  3. Click a report that you want to view.

  4. In the Dimensions section, select any B2B dimensions.

  5. In the Filters section, select a date range for the report.
